Position Title: Manager of Trade Shows, Meetings and Membership Job Type: Full time
MINExpo INTERNATIONAL is sponsored by NMA. It is the mining industry’s premier trade show for the global mining industry. The show is held every four years at the Las Vegas Convention Center. The 2016 show was the 12th largest trade show based on net square feet of exhibit space. The show had 838,000 sq. ft of exhibit space, 1920 exhibitors and 44,000 attendees. Approximately 35 percent of the attendees are participants from outside of the U.S.
Description: Individual is responsible for: 1) planning and execution of the association’s quadriennal trade show, a major industry event servicing the global mining industry; 2) planning and executing the association’s annual internal and external meetings, award events and special events as needed, and, 3) providing support for membership promotion, retention and services for membership.
Trade Show – Duties and Responsibilities:
- Work with staff and external team members (show management company, marketing firm, etc.) to develop goals, budget, timelines, policies and for the show
- Oversea and manage the housing firm to ensure that hotel contracts are enforced, contract concessions are maximized to meet association’s housing needs and minimize any additional housing costs for the association, room block is managed to meet the targets established by the association, expected revenue is achieved, exhibitors and attendee customer service is stellar, shuttle bus rebates are made in a timely manner
- Manage the housing needs for staff, vendors, advertising trade-out participants, International Buyer Program and others as needed
- Assign and manage the meeting rooms at the convention center for exhibitor use
- Contract with and manage a third-party on-site store vendor to include budget development for merchandise, on-site logistics including the design and build of the store, registers, staffing, invoicing, inventory and reports
- Develop and manage sponsorship/advertising program for exhibitors to include increased revenue goals, sponsorships opportunities, pricing, sales, fulfilment and reports
- Work with third-party show directory (print and online) vendor(s) to maximize advertising revenue, approve exhibitor advertisements, and respond to issues with exhibitor listings
- Responsible for association’s on-site logistics to include offices, International Business Center, session rooms, events and other needs as determined
- Negotiate a contract and manage shuttle bus company to provide transportation for exhibitors and attendees
- Work with show management company to conduct an exhibitor briefing to maximize exhibitor success at the show
Meeting and Events — Duties and Responsibilities:
- Plan and execute internal and external meetings, conferences and events conducted by the association. Manage all aspects of events from start to finish to include: budget, promotional materials, registration, housing, hotel logistics including catering and audio-visual, sponsorship opportunities, speaker coordination, and staff travel.
- Prepare and manage budgets, review invoices and billing related to meetings, conferences, and conferences
- Negotiate and prepare vendor contracts for signature
- Maintain history of all meetings, internal and external
- Prepare RFP’s, conduct site inspections, and negotiate contracts for meetings as required.
- Serve as point of contact onsite for meetings and conferences
- Responsible for program development including program agendas, collaborating with senior staff to research themes and identify high-level speakers.
Membership Duties:
- Support membership promotion
- Manage and update membership database
- Provide membership database training for staff.
- Prepare member company reports as needed
- Respond to membership requests for assistance
- Uphold NMA Policy and Procedures, Membership Guidelines, and NMA standards
Minimum Qualifications:
- Bachelor’s Degree in Communications, Marketing, Hospitality or related field
- 5+ years of meeting planning experience
- Experience with trade show planning
- Excellent customer services skills
- Strong work ethic and communication skills
- Ability to multi-task and work in a fast paced environment
- Proficient in office software
Preferred qualifications, but not required
- Association experience
- Certified Meeting Planner, CMP
